How to cancel plans politely
Sometimes plans have to go: work runs late, energy runs out, or you simply said yes too fast. Cancelling well is about three things: telling them early, being honest, and making the new plan real. Here is how, and 8 text templates for the most common situations.
The three rules
- Early. The moment you know, tell them. Every hour you wait makes it harder for them to rearrange.
- Honest. A short, true reason beats a dramatic invented one. People forgive tiredness more easily than a story that does not add up.
- Concrete. "Let's do it another time" is vague. "How about Thursday at 7?" is a plan.
Templates you can copy
Plans with a friend
I'm really sorry, I need to cancel tonight. I've been looking forward to it. Could we do [day] instead?
Last minute
I'm so sorry for the short notice. I can't make it today after all. I know that's annoying, and I'd love to make it up to you. Are you free on [day]?
You are tired
Honest answer: I'm wiped out and wouldn't be good company tonight. Can we move it to the weekend? I'll bring the snacks.
Something came up at work
Work just landed something I can't move, so I have to cancel our plans tonight. I'm sorry. Next week is clearer. Does [day] work?
There is a booking
I'm sorry, I have to cancel for [day]. I'll call the [restaurant / venue] and sort out the booking. Can we pick a new date?
Group plans
Sorry everyone, I have to drop out of [plan]. Have a great time, and send photos!
A plan you agreed to too quickly
I said yes too fast, and I realise I can't do [plan] after all. I'm sorry, and I wanted to tell you now rather than later.
Rescheduling for the second time
I'm sorry to move this again. I don't want to keep doing that to you. Let's pick a day I can definitely keep: how about [day]?
What to avoid
- Cancelling by silence. Not turning up is the one cancellation that is always rude.
- An elaborate excuse. The more detail, the less believable it sounds.
- Apologising five times. One sincere sorry is enough.
- Posting about your evening elsewhere. If you cancelled to rest, rest offline.
- Leaving the reschedule to them. You cancelled, so you suggest the new date.
When to call instead of text
For last-minute cancellations, anything with a booking or travel involved, or plans that mattered a lot to the other person, a quick call is kinder. Follow it with a text that confirms the new date.

Questions about cancelling plans
How do you cancel plans politely?
Tell them as early as you can, apologise once, give a short honest reason if you want, and suggest a new time: "I'm so sorry, I need to cancel tonight. Can we do Thursday instead?"
How do I cancel plans last minute without being rude?
Call or message straight away, be honest, apologise sincerely, and make it easy for them: offer to cover any booking or suggest a specific new date. The sooner and more direct, the better.
Do I need a reason to cancel plans?
A short, true reason helps, especially with close friends. You do not need a detailed one. "I'm exhausted and wouldn't be good company tonight" is honest and usually understood.
How do I cancel plans without feeling bad?
Remember that cancelling kindly and early is better than turning up resentful or not at all. Make the new plan concrete, and follow through on it. Guilt fades fastest when the rescheduled plan actually happens.
How often is too often to cancel?
If you cancel on the same person more than once in a row, the pattern starts to say more than the reasons. In that case, it may help to be honest about your capacity and plan smaller things you can keep.
